Bright Light Vacancy – Project Support Coordinator
Roles and Responsibilities
The Project Support Coordinator provides administrative, financial, and operational support to ensure the effective planning, execution, and reporting of new and ongoing projects. The role has a strong interface with the Finance/Accounts Division and requires a solid bookkeeping background to support accurate financial tracking, reporting, and compliance across projects.
Administer and oversee the day-to-day operational aspects of new and ongoing projects:
- Maintain and monitor project plans, schedules, work hours, budgets, and expenditures
- Track, document, and follow up on decisions made during project meetings to ensure actions are completed
- Coordinate project activities to ensure deadlines and milestones are achieved
- Facilitate project procurement processes, including coordination with suppliers and internal stakeholders
Draft and prepare:
- Meeting agendas and minutes
- Executive slide decks and presentations
- Project correspondence and documentation
- Coordinate and manage calendars, meetings, and appointments related to projects
- Manage all incoming and outgoing project-related communications
- Create, maintain, and update accurate and comprehensive project (Tender and Handover) documentation, plans, and reports
Support procurement:
- Create, issue, and track purchase orders
- Maintain and update project-related changes
- Prepare and distribute monthly customer and project reports
- Coordinate delivery with contractors
Reporting and finance responsibilities:
- Invoicing of cash deals (Pastel)
- QC invoicing and related reports (Pastel)
- Intercompany recharges
- Commission reports
- Stock reports
- Project reports
- Track invoices and payments

Education
- Grade 12
- Diploma in project management would be an advantage
Experience
- Minimum 3 years working within a projects’ administration environment
- Experience with basic bookkeeping specifically using Pastel Accounting
- Solar background would be a definite advantage
